Privacy Notice

This notice explains what personal information RD NovaSphere may collect, why it is used, how long it may be retained and the choices available to you.

1. Who is responsible

RD NovaSphere is responsible for deciding how personal information submitted through this website is used. Privacy questions can be sent through the contact form with the subject “Privacy request”.

2. Information we may collect

  • name, email address and optional telephone number;
  • enquiry details and communications;
  • portfolio materials such as biography, CV, photograph, education, projects and links;
  • publication choices, approvals and revision records;
  • technical security information supplied by hosting and form providers.

Do not submit home addresses, identity documents, medical information or other sensitive data unless specifically requested and genuinely necessary.

3. Why we use it

  • to respond to enquiries and take steps requested before a contract;
  • to deliver agreed portfolio, design or digital services;
  • to maintain security, prevent spam and resolve technical issues;
  • to publish approved portfolio information under the contributor’s selected visibility;
  • to comply with legal obligations and establish or defend legal claims.

4. Lawful bases

Depending on the activity, processing may be necessary to take steps before or perform a contract, to meet a legal obligation, for legitimate interests such as secure service administration, or based on consent for optional public publication and marketing.

5. Who information may be shared with

Information may be processed by necessary service providers such as Netlify for hosting and forms, the domain/DNS provider, email providers and professional advisers. It may also be disclosed where required by law. RD NovaSphere does not sell personal information to advertisers.

6. International processing

Some technology providers may process information outside the United Kingdom. Where applicable, appropriate contractual or legal safeguards should be used by those providers.

7. How long information is kept

Enquiry records may normally be kept for up to 12 months after the last meaningful contact. Active client and transaction records may be retained for the period needed to deliver the service and meet tax, contractual or legal requirements. Unsuccessful draft portfolio materials should be deleted or returned within a reasonable period agreed with the contributor.

8. Your rights

Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to processing, receive portable data and withdraw consent. You may also complain to the UK Information Commissioner’s Office if concerns are not resolved.

9. Portfolio visibility and publication

  • Public: shown in the ScholarSpace directory and may be indexed by search engines.
  • Unlisted: excluded from directory search and marked noindex, but accessible to anyone with the direct link.
  • Private review: kept off the public deployment while awaiting approval.

Unlisted does not mean confidential; recipients can forward a direct link.

10. Changes to this notice

This notice may be updated as services, suppliers or legal requirements change. The effective date at the top will be revised when material changes are made.
